North State Nannies Agency and Candidate Agreement
Welcome to North State Nannies! We are excited to work with you to find the perfect position. Our goal is to be a support and encouragement to each candidate we work with and help each candidate find the perfect fit. Following the policies will help you to represent yourself (and the agency) well. The agency expects candidates representing our agency to abide by the following professional conduct standards:
Honest Representation Policy:

The Agency reserves the right to verify any information provided. Any falsification, omission, or material misrepresentation of information may result in immediate removal from the Agency's candidate pool and termination of any ongoing representation, at the Agency's sole discretion.
Professional Conduct:

Review my social media and online presence and ensure that photos, comments, and posts/videos reflect the professionalism that I want potential clients to see.

Communicate with the agency if I receive another offer and be respectful to consider offers from multiple families before taking another position.

Ultimately, we want you to find the best fit, and sometimes telling a family you have spoken with that you have another offer prompts them to also share an offer or speed up the process. Having options is never a bad thing!

Interviews and Trials:

Please respond as quickly as possible to requests for interviews and trial days. We understand you have a life and likely another job; feel free to text us after hours, and we will respond the next business day.

Please arrive early (5-10 minutes preferred) to any virtual interview or trial day.

This speaks volumes to your professionalism.

Prompt communication if anything arises that changes your availability to attend an interview or trial day (in advance).

Professional attire is expected (keep in mind that during trial days you will be engaging with children and dress accordingly).

Appropriate use of social media

Do not ask to cancel or reschedule an interview or trial day unless it’s truly an emergency.

This reflects poorly on the agency and yourself as a candidate, and we want to ensure we are putting our best foot forward in this process.

Notify the agency of feedback after interviews.

Inform the agency of offers received.

Please keep all information about families confidential; this includes the family’s name and address, children’s personal and medical information, household security information, and/or financial information.

Confidentiality regarding families and agency operations is required at all times, even if a candidate is not hired.

No photos or videos should be taken at the family’s home without permission from the client. This especially applies to trial days and interviews when you do not yet have a contract or know the family’s policy on videos/photos.
Hiring Process and Direct Communication with Families:
As the agency introducing and recommending you to our clients, all candidates understand the following policies and agree to abide by these during the process and for a full year from the date of signing this agreement.

The candidate agrees to communicate with the agency about any interviews or trial days scheduled.

If the client decides it’s faster and easier to ask you directly, no problem; please let us know the date and time so that we can add it to our calendar.

The agency will handle offer and contract negotiations, including pay scale and benefits. Should the family initiate this conversation with you, feel free to let them know you will speak with the agency about this and allow us to mediate for you.

All contracts and offers should come from the agency and not the client directly. If a client sends you an offer independently, this also needs to be shared with the agency. This helps us keep the information on file and have access to your contract in case any issues or questions arise throughout your employment. We are here to help protect you and make sure you have a contract that you are happy with.

As the referral agency introducing you to our clients, all candidates agree by signing this agreement that they will not attempt to bypass the agency through any of the following avenues:

Sign a contract with a client the agency introduces them to without the agency’s knowledge. Should a client request the candidate to do so, they are violating their client agreement with the agency and liable for legal implications. They are also responsible for the applicable placement fee they originally agreed to.

Contact a family the agency introduced them to to provide nanny, household manager, or babysitting services without the agency’s knowledge, even for occasional or date night services.

Share the agency’s client information with any other party.

The candidate should keep all agency information confidential, including our vetting process and client information.

Candidates’ Relationship with North State Nannies:
The family becomes the employer upon hiring a candidate and is solely responsible for complying with all applicable federal, state, and local employment laws and regulations, including but not limited to payroll taxes, wage and hour laws, workers' compensation requirements (where applicable), unemployment insurance, and any required employment-related contributions or withholdings.
Our agency strongly advocates for legal, on-the-books employment arrangements that comply with all applicable laws. However, the final terms of employment, including compensation and payroll arrangements, are determined solely by the family and the candidate. Should the family and candidate mutually agree to an alternative arrangement, that decision is made independently and at their sole discretion. The agency is not a party to, nor responsible for, any such agreements or their legal or tax implications.
Agency Office Hours:
*Please note these are our regular business hours, and while we may respond to urgent matters after hours, we often will not be able to respond when not in the office to non-urgent requests or messages.
Monday-Thursday 9 AM-5 PM
Friday 9 AM-4 PM
* We do have on-call hours during the weekend for emergencies only
Revision of Policies:
North State Nannies reserves the right to revise these policies at any time.
